Replacing a Sales Rep

When a new Sales Rep (B) is completely replacing a departed Sales Rep (A), the following procedure can be used to set up Sales Rep B.

1)  Sales Rep A’s user ID should already be deactivated. See Deactivating a User.

2)  Set up the new territory.

·      Go to System Console. Click on .

·      Click on for System Config.

·      Click on Territories.

·      Select the Branch that the territory is in.

·      Click on edit next to the name of the existing territory that should be associated with the new Rep.

·      Change the territory name and click on Save.

3)  Set up a User ID for Sales Rep B.

·      Click on View->System Tools.

·      Click on  for User Profiles.

·      Click on New in the user list.

·      Fill out the form for the new profile.

·      Click Save.

·      Click on the home graphic.

4)  Add the Sales Rep B’s user name to the User Hierarchy.

·      In the System Console, click on  for User Hierarchy Maintenance.

·      Select Sales Rep B in the Sales Rep Users list.

·      Select the user’s supervisor in the Works for list.

·      Click on Go.

·      Click on the home graphic to exit from the hierarchy.

5)  Transfer all contacts that were associated with the Sales Rep A (but not with any accounts) to the Sales Rep B.

·      Go to Contacts Tool, click on View->Contacts.

·      Select NOT associated to account in the first filter field and Sales Rep A in the second filter field

·      Click Refresh.

·      Click ALL on the Letter Bar.

·      Click on the word SEL to select all displayed contacts.

·      Click on Reassign .

·      In the popup, select Sales Rep B and any options, then click on Save.
Note: A maximum of 750 contacts can be reassigned at one time. If more than 750 contacts are in the list, repeat as necessary.

6)  Create SRA rules user criteria for Sales Rep B that is the same as Sales Rep A.

·      Click on  in the Button Bar.

·      Click on  for SRA Configuration.

·      Click on  for Sales Representative Assignment Rule.

·      Select the SRA rule name in the OBJECT ASSOCIATION field.

·      Select Sales Rep B under Establish Criteria for.

·      Create the same definition as the one for Sales Rep A.

·      Click on Save. Sales Rep B should appear in the user list. Do not leave the page yet.

7)  Delete the SRA rules user criteria for Sales Rep A.

·      In the user name list, click on remove in the Action column for Sales Rep A.

·      Click on the home graphic to exit the SRA rules page.

8)  Run the SRA rules for the Sales Rep A’s profile to transfer records to Sales Rep B.

·      Click on  in the Button Bar.

·      Click on  for User Profiles. A user list is displayed.

·      Select Inactive in the search field and click Refresh. Sales Rep A should be in the list.

·      Click on the ID of Sales Rep A. The profile opens.

·      Click on Run SRA.
Note: Things to consider include which categories to run, whether to override protected accounts, whether to reassign leads. Accounts may be protected because they are major, they were created by the Rep, or they are bill-to locations that are outside the territory.

The SRA rules are run overnight. After the rules run, go through the following final clean-up steps.

§ View the results of running the SRA rules.

§ Manually reassign any accounts, leads, or contacts that are not reassigned.

§ If you choose to, you may now remove Sales Rep A from the User Hierarchy.

Note: In removing the user from the hierarchy, you may lose access to past leads that were closed by the departed user.
