The company hierarchy defines how the users relate to each other. It identifies who has access to which records. For example, a Sales Manager can access the account records of all users who work for that manager. The hierarchy should be built top-down to reflect your own company’s actual hierarchy.
On a new system, the only entry in the hierarchy is a placeholder called Company Admin. The owner of the company should be identified to Work for Company Admin. Next, you would select the users that work for the owner (directly report to). Then, select users that work for each of those users, and so on. A user has access to the records of users that are lower in the hierarchical path from him/her. For example, in the sample snapshot, Davis has access to all records but Hawkins does not have access to the records of Oneill or Oneill’s subordinates.
To add or update the company hierarchy:
1) Click on in the Button Bar or
click on Tools->System Console menu
option.
2) Click on for
User Hierarchy Maintenance. A page similar to the one above appears.
3) To add users to the hierarchy:
· Select the user to add to the hierarchy from the Sales Rep Users list.
· Select the user that this user reports to in the Works For field.
· Click on Go. The name is added to the hierarchy.
4) To move a user’s position in the hierarchy:
· Select the user in the Sales Rep Users list.
· Select the user that this user should now report to in the Works For field.
· Click on Go. The user’s name is moved in the chart.
5) To delete a user from the hierarchy:
· Click on the name in the hierarchy chart that should be deleted.
· To remove
subordinates from the chart, make sure a checkmark is in the Include
Subordinates box. If there is no check mark, the subordinates stay on the
chart and are moved up in the hierarchy to where the removed user was.
If
you want to keep the subordinates in the chart, you may want to move them before
deleting the supervisor.
· Click on Remove. The user is removed from the chart (not from the system).
6) To exit from the form, click on home (mySalesChain).
